In documents generated with xential, the logged-in user is listed as the author by default under File > Info in Microsoft Word. Due to privacy or company guidelines, this is not always desirable. The steps below replace the logged-in user with, for example, the name of your organisation or department.

This article describes a specific implementation of Option 2 from the overview article Managing document properties in xential.

Step-by-step guide

1
In xential|manager, go to Settings > Manage xential properties and add a category.
2
Under Apply to for this category, select the option User groups.

Creating a category with Apply to User groups selected

3
Right-click the category and add a property. Give it a recognisable name, for example organisation-author, and click OK.
4
Go to Users and right-click to open the properties window of a user group.
5
Enter a value for the added property (for example the name of your organisation or department) and click OK.
6
Go to Settings > Metadata links > Document properties metadata links.
7
In the left pane (Xential data), under usergroup, link the added property to the metadata field author in the right pane and click OK.

8
Open xential|client, complete the questions and build the document.

Result

In Microsoft Word under File > Info, the Author property is now changed to the name of the organisation.

Important

If no value is entered in the properties window of the user group, the logged-in user will still be listed as the author.
