Xential offers a training programme built on more than ten years of experience with hundreds of rollout and implementation projects. The programme is divided into two curricula: one for administrators (application administrators and template builders) and one for end users. This article describes the offering, structure and rollout options for your organisation.
Administrators and end users
Administrators are application administrators and template builders who use xential to create templates, manage data connections and manage users. They are responsible for the overall technical and functional operation of xential within an organisation.
End users are employees in the organisation who use xential to create documents.
Our trainers
Xential's trainers have years of experience in delivering group training sessions. They have in-depth knowledge of xential and are experienced in processes related to document creation and document management. Our trainers are always involved in the implementation project (as a consultant or project leader), ensuring sufficient expertise about your specific situation. All trainers hold a valid Certificate of Good Conduct (VOG).
Training for administrators
A two-day on-site training course is available for functional application administrators, consisting of a basic course (day 1) and an advanced course (day 2). The aim is for administrators to be able to independently build templates and assign authorisations to end users upon completion.
Day 1 — Basic course:
- Session 1: introduction to xential|client (for users) and xential|manager (for administrators).
- Session 2: standard question types, building simple templates, the relationship between templates, styles (headers and footers) and components (building blocks), and editorial management.
Day 2 — Advanced course:
- Session 3: brief recap of day 1, further exploration of styles and components, data sources, rights and role management.
- Session 4: hands-on work with your own templates, management studio functionalities and use of metadata.
Between the basic and advanced courses, a period of approximately three weeks is usually scheduled, during which administrators work independently with xential. The complete course is documented in a course handbook, available as a PDF and accessible within the xential help function.
Training for end users
Xential has an intuitive interface, meaning end users require little to no training. With a well-written explanation including some screenshots and an introductory session, users can typically create documents independently. In addition, xential includes a comprehensive built-in help function.
Rollout options
It is advisable to consider how xential will be introduced within the organisation during the implementation project. The rollout plan is defined by the xential project leader together with the client's project team. The following options can be used individually or in combination:
- Intranet: publish an announcement with a description of xential and how it works in combination with connected applications, supported by images and video.
- Email: send an organisation-wide email with a description of xential.
- Teach the teacher: end users learn the functionalities through introductory sessions. Some users serve as key users who assist colleagues and collect questions for the application administrators.
- Walk-in session(s): one or more sessions in which end users attend a presentation about how xential works, optionally in combination with external applications.
- Screencast: a short video showing how xential works, optionally in combination with other connected applications.
